Preventive maintenance for a rental property

Preventive maintenance is one of the simplest ways to reduce emergency repairs, preserve property condition and create a better tenant experience. The goal is not to eliminate every failure. It is to catch predictable problems before they become larger and more expensive.

HVAC

  • Filter replacement
  • Seasonal service
  • Condensate drain review
  • Thermostat checks
  • Outdoor-unit clearance
  • Documentation of equipment age and repairs

A neglected HVAC system can create both comfort problems and avoidable repair costs.

Plumbing

Inspect visible supply lines, shutoff valves, toilets, faucets, under-sink connections and water-heater areas. Small leaks can create major damage if they go unnoticed.

Know the location of the main water shutoff and make sure authorized personnel can access it during an emergency.

Roof and gutters

  • Missing or damaged shingles
  • Flashing
  • Roof penetrations
  • Gutters and downspouts
  • Tree limbs over the structure
  • Signs of interior staining

Roof work may require qualified contractors and appropriate safety procedures. Routine observation should not become unsafe DIY activity.

Exterior drainage

Water should move away from the structure. Look for low spots, erosion, downspouts discharging near the foundation, standing water, failed grading and clogged drainage systems.

Safety devices

Follow applicable code and manufacturer requirements for smoke alarms, carbon-monoxide alarms and other safety equipment. Document testing and battery or device replacement.

Exterior presentation

Pressure washing, vegetation trimming, clean walkways, visible addressing and maintained entries contribute to both property protection and tenant satisfaction.

Coso’s exterior-care path can support the broader property-maintenance framework.

Appliances

Track model numbers, approximate age, warranty information and service history. A simple equipment record makes future repair-versus-replace decisions easier.

Seasonal property review

A quarterly or seasonal checklist can be more effective than relying on memory. The checklist should account for the property’s actual age, systems and risk profile.

Maintenance records create asset history

  • Work orders
  • Vendor invoices
  • Before-and-after photos
  • Warranty documents
  • Installation dates
  • Inspection notes
  • Tenant-reported issues
